Job Title: Photo ID Project Coordinator
Reports To: Executive Director
Status: Full-Time (40 hours/week), Exempt
Location: St. Louis, MO (in-person required for clinic days)
Compensation: commensurate with experience

Position Overview

The Ashrei Foundation is seeking a committed and highly organized Photo ID Project Coordinator to lead and expand our work providing equitable access to government-issued identification in Missouri. 

This full-time position will oversee the day-to-day operations of all Photo ID Project efforts, including coordinating and training volunteers, and engaging directly with community members seeking vital documents. The position will manage the North City Photo ID Project and all off-site and/or pilot projects that Ashrei leads statewide. 

The Project Coordinator will work closely with the Executive Director and represent Ashrei in statewide coalitions, supporting systemic advocacy efforts to improve ID access in Missouri. 

The ideal candidate is a proactive self-starter who takes initiative and is comfortable both asking thoughtful questions and stepping into leadership when needed. They bring an energetic, team-centered mindset, and are eager to facilitate growth, strengthen systems, and develop new tools that will support the program’s long-term expansion and sustainability.

Key Responsibilities:

Program Coordination

  • Manage all communication (text, phone, email, voicemail) with community members, caseworkers, and partners related to scheduling appointments

  • Supervise and manage weekly Photo ID Clinic days and other clinic days including pilot, collaborative and off-site ID access projects

  • Coordinate document distribution to clients and track follow-up communications after appointments

  • Maintain and update internal systems, including the Photo ID Master spreadsheet and program dashboards

  • Oversee collection and supervision of data entry from Intake Sheets and Program Guest Surveys into Google Forms and Drive folders

  • Manage ongoing text communications with clinic guests

  • Maintain accurate financial records about the photo ID programs and report according to standard organizational practices and procedures

Volunteer Management

  • Manage and monitor volunteer sign-ups, ensure clinic days are fully staffed, and coordinate scheduling logistics

  • Recruit, train, and manage a team of volunteers to support clinic operations

  • Ensure volunteers remain engaged through on-going training opportunities, routine communication, feedback solicitation, and support the annual appreciation event

  • Support the development of additional teams including Data Entry Volunteers, Document Delivery and Pick-up Teams, Attorney As Applicant Volunteers, and any additional volunteer roles as needed to maintain and expand ID access efforts

  • Track volunteer hours through DonorPerfect, and other systems as appropriate

Community Outreach & Client Engagement

  • Build relationships with individuals and service providers to connect community members with the program

  • Provide direct, culturally competent support to individuals experiencing poverty, homelessness, and other systemic barriers to ID access

  • Participate in Community events as a representative of Ashrei as appropriate

  • Foster ongoing communication with program guests to solicit regular feedback and testimonials that demonstrate program outcomes and success 

Program Development & Expansion

  • Support the expansion of Ashrei’s Photo ID efforts, including:

    • Developing offsite, weekend, and evening clinic hours

    • Building partnerships for hospitality and support services

    • Creating and delivering training materials for community and congregational partners

    • Administering pilot programs for sustained expansion as community demand and organizational resources allow

  • Maintain close partnerships with St. Francis Xavier College Church ID & Birth Certificate Outreach Program, and other St. Louis area programs as appropriate, to ensure regional needs are understood and adequately addressed to the extent possible

  • Regularly provide other Ashrei staff with pertinent program information to support fundraising and grant writing efforts to financially sustain and expand the program

Statewide Advocacy & Coalition Work

  • Represent Ashrei on the Missouri State ID Access Coalition, supporting collective efforts for statewide policy change

  • Support training and development of new programs statewide, when appropriate

  • Participate in advocacy, research, and public education efforts related to ID access in Missouri

Administrative Support & Reporting

  • Assist with program evaluation, reporting, and documentation

  • Ensure accurate record-keeping and organized digital filing in Google Drive

  • Collaborate with the Executive Director to assess workload and adjust responsibilities as needed to meet community demand while sustaining healthy rate of program growth

Qualifications

  • Bachelor’s degree required

  • Strong organizational and administrative skills with attention to detail

  • Excellent communication, time management, and follow-through abilities

  • Experience working with marginalized populations, particularly those impacted by homelessness, poverty, racial injustice, and/or mental health challenges

  • Commitment to social and economic justice and equity-driven work

  • Ability to work independently and collaboratively in a fast-paced, mission-driven environment

  • Proficiency in Google Suite (Docs, Sheets, Drive, Voice) required

  • Flexibility to be present for regular in-person clinics and occasional weekend/evening events
